As our team has experimented with AI and exchanged ideas with agents and industry peers, we've found that the biggest wins usually aren't complicated. They're simple ways to save time, work more efficiently, and improve the quality of your work.
Here are a few tips we've found useful along the way.
1. Start with the outcome
One of the easiest ways to improve AI responses is to tell it what you're actually trying to accomplish.
Let's say you're preparing for a client meeting.
Instead of asking: "Write an email to my client."
Same task. Better direction. We've found that AI performs best when you explain the end goal, not just the assignment.
Think of it like onboarding a new employee. The more context they have, the more helpful they can be. This can be especially helpful when creating:
- Client communications
- Renewal preparation materials
- Meeting agendas
- Marketing content
- Internal training resources
Think of AI less as a search engine and more as a teammate. The clearer the instructions, the better the outcome.
2. Tell it to disagree with you
Most AI tools are designed to be helpful. Sometimes that means they reinforce your thinking instead of challenging it. One trick we've found useful is asking AI to pressure-test our ideas.
For example: "I'm preparing to submit this account to an underwriter. Challenge my assumptions. What questions might an underwriter ask? What information may be missing? What concerns or objections could arise?"
Or: "Review this client communication and identify anything that may be unclear, confusing, or open to misinterpretation."
This approach can help uncover blind spots before an email is sent, a submission is made, or a conversation takes place.
Sometimes the most valuable answer isn't validation. It's a fresh perspective.
3. Build once, reuse often
Many people use AI the same way they use a search engine: ask a question, get an answer, and move on. However, some of the biggest time savings come from creating prompts for tasks you do repeatedly and reusing them when needed.
A simple question we like to ask ourselves is:
What tasks do I find myself doing over and over again?
For example, an agent may want to quickly learn more about a prospective insured before a meeting, renewal discussion, or submission. Rather than manually searching multiple websites every time, consider creating a detailed prompt that asks AI to research the company, summarize key information, identify potential risk considerations, and prepare discussion points.
Many AI tools also allow you to save instructions about your role, industry, and preferences. Think of it as giving your AI teammate some background information. A wholesale broker, for example, might tell AI to tailor responses to workers compensation insurance and agency-broker-carrier relationships.
Once you've built a prompt that produces useful results, save it. The next time a new account comes across your desk, start with a proven framework instead of a blank page. Other examples might include:
- Summarize meeting notes
- Draft follow-up emails
- Organize research
- Create action-item lists
- Build first drafts
The goal isn't to remove the human element. It's to spend less time on repetitive administrative work and more time on the conversations, decisions, and relationships that require your expertise.
